Real challenges. We understand.
Common challenges for survey instrument dealers
Many brands, long specifications and serial-numbered stock make it easy for sales, stores and service to fall out of sync.
Which quote was approved?
Revisions go back and forth on WhatsApp, and when the PO arrives no one is sure which version was approved.
Is it still under warranty?
Serial numbers sit in a register and invoices are hard to find, so warranty claims turn into warehouse hunts.
The wrong kit reaches site
A 1″ and a 2″ total station look the same in the box. The warehouse guesses, and the survey stops.
A demo unit is always missing
Demo instruments travel from office to office, and no one knows which unit is where.

Questions survey instrument dealers ask
How does KnowBuild track serial numbers and warranty?+
Every unit is recorded with its own serial number when it comes in and when it is dispatched, against the customer and the invoice. Each product carries its warranty period, which starts from the invoice date. Search the serial number to see who bought it and whether it is still covered.
Can we track demo units across our offices?+
Yes. Each office holds its own stock, including demo units, and every transfer between offices is recorded.
Our warehouse team doesn’t know every model. Will they ship the right kit?+
Yes. Each instrument is saved as a kit with its exact variant and accessories. At dispatch, the system lists every item to pick and checks each scan against the order, rejecting anything that doesn’t match. Your team doesn’t need product knowledge; the system makes sure the right kit goes out.
Do we have to stop using Tally?+
No. Keep Tally for your final accounts. You can start with Sales OS next to Tally to fix inquiries, quotes, follow-ups and payments, and move stock, purchase and dispatch onto KnowBuild when you are ready.
Can KnowBuild track service calls and calibration?+
Not yet. Service and AMC tracking is being built now, alongside the Tendering module, and both will be available as optional add-ons by December 2026. Serial numbers and warranty periods work today.
How do we start?+
With a 5-user pilot on the one area that hurts most, usually quote-to-order or order-to-delivery. You grow from there once it works.
